School excursions create valuable learning opportunities, but they also move students outside the normal controls of the campus. That makes planning, supervision, medical information, transport and emergency arrangements especially important.
Purpose
This SOP provides a standard process for planning and conducting school excursions safely and educationally.
Before approval
- Define the educational purpose of the excursion.
- Identify the venue, dates, timings, transport and proposed student group.
- Complete a risk assessment covering travel, venue, activities, supervision, medical needs and emergency access.
- Confirm the required staff-student supervision ratio according to age, activity and school policy.
- Obtain leadership approval before commitments are made.
Parent consent and information
Provide parents with clear information about the purpose, schedule, transport, expected conduct, costs where applicable, contact arrangements and any special activity risks. Obtain consent in the form required by school policy.
Student information
Trip leaders should have current attendance lists, emergency contacts, relevant medical information and details of students requiring medication or additional support.
On the excursion
- Conduct headcounts at defined transition points.
- Maintain assigned student groups and supervising adults.
- Do not make unapproved activity or route changes that materially alter the risk profile.
- Record significant incidents and contact the school when escalation is required.
Emergency arrangements
The trip leader should know the nearest appropriate medical support, how to contact the school, who has authority to communicate with parents and what to do if a student becomes separated from the group.
Post-trip review
Record incidents, near misses and operational lessons. A successful trip can still reveal improvements needed for future excursions.

An excursion should never rely on the assumption that experienced teachers will manage whatever happens. Experience is valuable, but good systems make that experience more reliable. Approval, risk assessment, student accountability and emergency communication should always be explicit.
