Teacher absence becomes an academic problem when the school treats it only as an HR issue. Students still need continuity, substitute teachers need usable information and coordinators need to know whether curriculum progress is being disrupted.
Purpose
This SOP establishes a consistent process for reporting teacher absence and arranging academic cover.
Reporting absence
- The teacher informs the designated school contact as early as possible through the approved channel.
- The message should state the expected duration where known and identify any urgent class or duty information.
- The school records the absence according to HR requirements and informs the relevant academic coordinator.
Academic handover
Where reasonably possible, the absent teacher should provide current lesson plans, resources, assessment deadlines and important student information. Schools should not depend entirely on same-day messages; current planning records should already be accessible to the department.
Cover allocation
The coordinator assigns a substitute or internal cover teacher, balancing subject competence, workload and student continuity. Repeated use of the same colleagues for cover should be monitored to avoid transferring the absence problem into staff overload.
During extended absence
For longer absences, a designated teacher or coordinator should monitor curriculum progress, assessment continuity, parent communication where necessary and support for examination classes.
Return to work
The returning teacher should review work completed, student concerns, incidents and unfinished tasks before resuming the normal sequence.

A school should be able to maintain learning when any one teacher is absent. That requires current planning, accessible resources and clear cover responsibilities. Continuity should be designed into the system rather than improvised after an absence is reported.
