When a student is injured, the quality of the school’s response depends less on how quickly people become busy and more on whether everyone knows their role. Confusion over who provides first aid, who contacts parents, who supervises other students and who records the incident can make a difficult situation worse.
Purpose
This SOP provides a consistent response to student accidents and injuries occurring on campus, during transport or on school activities.
Immediate response
- Ensure the area is safe and prevent further harm.
- Provide first aid within the competence and training of available staff.
- Do not move a seriously injured student unless remaining in place creates greater danger.
- Contact the designated medical or first-aid lead.
- Call emergency medical services when the injury appears serious or the school’s emergency criteria are met.
- Maintain appropriate supervision of the injured student and other students.
Parent communication
Notify the parent or guardian promptly using verified contact information. Communicate known facts without speculation or premature conclusions. For serious incidents, a designated leader should manage communication so that the family receives one clear account of what the school is doing.
Documentation
Record the time, location, persons present, observable injury, first aid provided, communications made and any referral for further care. Distinguish factual observations from assumptions about cause.
Escalation
Immediately escalate serious injuries, head injuries, suspected fractures, breathing difficulties, loss of consciousness, significant bleeding, possible safeguarding concerns, or any case where professional medical assessment may be required.
Post-incident review
After the immediate situation is stable, review whether an environmental, supervision or procedural factor contributed to the incident. Correcting the system is as important as closing the report.

A good accident SOP does three things at the same time: protects the child, supports calm decision-making and preserves an accurate record. Schools should rehearse responsibilities before an emergency occurs rather than deciding them during the incident.
