School Transport SOP: Student Safety, Boarding, Route and Escalation Procedure

School transport is not simply a logistics function. It is an extension of the school’s duty of care. A safe transport system depends on accurate student lists, clear supervision, disciplined boarding and handover routines, and rapid escalation when something does not match the expected pattern.

Purpose

This SOP standardises student movement on school transport from boarding to final handover.

Responsibilities

  • Transport coordinator: routes, rosters, vehicle readiness and escalation.
  • Driver: safe driving, vehicle checks and route compliance.
  • Bus attendant: student attendance, seating, supervision and handover.
  • School duty team: safe boarding and exception verification.

Before departure

  1. Confirm vehicle fitness, emergency contacts and required safety equipment.
  2. Verify the current route roster and approved transport changes.
  3. Ensure the attendant has a working communication device and student contact information.
  4. Board students against the roster rather than memory.

During the route

  • Students remain seated according to school safety expectations.
  • No route or stop change is made informally.
  • Unexpected delays are reported to the transport coordinator.
  • Behaviour or safety incidents are documented and escalated appropriately.

Student drop-off and handover

  1. Release younger students only according to the school’s authorised handover process.
  2. Do not leave a student at a stop when the required receiving adult is absent.
  3. Contact the transport coordinator for instructions when handover cannot be completed.
  4. Record repeated late pickup or route exceptions for leadership review.

Missing-student or roster mismatch

If a student expected on a bus is missing, do not assume the child has gone home another way. Immediately check the classroom or duty point, transport-change record and authorised pickup information. Escalate until the student’s location is confirmed.

End-of-route check

After the final stop, the attendant and driver should physically check the vehicle to ensure that no student or personal item requiring attention remains inside. Completion of this check should be recorded where practicable.
